What is the "Untracked Replies" feature?

The Untracked Replies feature is a groundbreaking addition that makes the Master Inbox 3.0 complete. It is designed to address the everyday challenges of missed leads and streamline the lead management process for Smartlead users. 

So, what is it exactly?

The Untracked Replies feature does what it is designed to do - record all untracked replies.

Often, when an email account associated with Smartlead receives a reply from a lead that is not directly linked to the ongoing campaign, it may go unnoticed. This typically occurs when the lead contacts the recipient from an unexpected email address or, instead of hitting ‘Reply,’ the lead composes an entirely new message, thus starting a new message thread. 

This is where the untracked replies feature comes as a savior. 

The Untracked Replies feature captures these replies within the platform (Smartlead), ensuring no potential opportunity slips through the cracks.

Cool, right? 

So, how do you access the Untracked Replies feature? 

It is pretty straightforward. Log in to your Smartlead account and navigate to the Master Inbox tab.

You will find the Untracked Features view (as shown in the screenshot below).

Ok, so now you have all the untracked replies in one place. What Next? In this section, you can perform a variety of functions, as listed below:

1) Associate the leads with the appropriate campaign

You can now easily associate the lead with the appropriate campaign within the Smartlead platform. This ensures that all replies, even those not initially tracked within a specific campaign, are properly organized and managed. 

To do that, you just need to select the conversation and click on the ‘Associate Lead To’ button on the top (refer to the first screenshot). Once you do that, a new dialog box will appear (see the below screenshot).

From here, you can either assign the lead to a campaign manually or select from the recommended campaigns drop-down.

Once you click save, you will see a pop-up saying the lead has been moved to the campaign. The lead is successfully associated with the campaign, and you can reply to and follow up with it from the Master Inbox itself.

2) Delete/Bulk Delete Replies

With Untracked replies, you can delete the lead replies individually or bulk-select the replies and delete them.

To delete individual leads from Untracked replies, navigate to untracked replies and: 

  • Click on the Lead that you want to delete.

  • Click on the delete icon in the application's top right section (as shown in below screenshot).

  • Click on proceed to delete, and the lead will be deleted.

Similarly, you can also bulk delete replies. For this: 

  • Click on the box icon left to the untracked replies

  • Click on Select All and apply the selection

  • You will see an option to delete the leads.

  • Once you click on delete, all the leads will be deleted.

3) Mark leads as unread

To mark the email as unread, you can use the shortcut S+U or navigate to the 3 dots at the top right of the lead reply and click on mark as unread.

4) Block Email Addresses

To block any email address, click on the lead email from the untracked replies.

Navigate to the 3 dots in the top right on the leads reply and click on Block email address.

Click on block email. You can block it for a specific client as well.

5) Block domain

To block the Domain, click on the lead email from the untracked replies. Navigate to the 3 dots in the top right on the leads reply and click on Block Domain. Click on block domain; if you want to block it to a specific client, you can do that as well.

6) Manage/View Settings

The settings tab in the untracked replies helps you view all the Blocked Email Addresses, Blocked Domains, Blocked Subject Lines, and Blocked Keywords.

To access it, click the settings icon on the untracked replies view to view all the blocked settings.

You can also directly add the email address, email domain, subject lines, and keywords from the settings itself, as shown in the picture below.

Note: The warm-up emails sent from Smartlead are ignored by default in the untracked replies.
